The Culture Equation – Productivity


Productivity as defined is being able to work in a sustainable way and producing the right quality of results.

Being 100% productive provides two hard-to-come-by assets – TIME and MONEY.  A lot of money is spent on salaries and wages of wherein the average is 15%-30% of the gross revenue  depending on the industry. And one of the clear cut ways of increasing the profit margin is by increasing productivity.  If you can be more effective with the time that you put in and produce high level results then that investment in you as an employee provides a huge return and allows more cash for other investments.

You can be between 15-25% more efficient when you are being productive.. That’s an extra 6-10 hours of time for you in  40-hour week. Why is that important? It’s because you can be the source of getting more done in the week which then leads you to have more time to do the things that gives you a balanced life.

The Key Productivity Robbers

Using Eben Pagan’s Wake Up Productive Programs combined with our own tools, we have come up with the three things that we found were most impacting to productivity.

Productivity Robber #1:  GREY ZONE

Whether you’re in your workplace or you’re with others and you’re thinking about what you’re gonna do either later or on Monday, you become less productive because you are less focused. When you’re in all these different places — you’re in the Grey Zone.  When you’re not fully there,  you become physically and emotionally drained.

Solution: 

The ideal on the grey zone is being present with what you’re doing in the moment. There are two key support tools:

  • Block your calendar. Blocking your calendar allows you to create segments to your day so you can actually focus on your current task. It allows you to put your attention and focus on one thing because you know you have time slotted for another thing.
  • Notice.  Don’t make yourself wrong but rather just notice. If you make yourself wrong, be forgiving and then take a couple of breaths to get present. Keep in mind that it takes iteration and Even Better IF’ing, which means you tried it and even better it next time.

Productivity Robber #2: MULTI-TASKING

We all do it. Research shows that multitasking is at the root of inefficiency and it doesn’t help get more things done actually but we do it anyway. According to Guy Winch, author of Emotional First Aid: Practical Strategies for Treating Failure, Rejection, Guilt and Other Everyday Psychological Injuries,  what we call multitasking is really task-switching which actually wastes productivity

multitasking-600because your attention is spent on the act of switching gears. Multitasking actually stresses your physical and emotional systems reducing your ability to get things done.

SOLUTION:

Focusing on one thing at a time is the ideal solution and the key supporting tools are:

  • Keep a list of those things that are conducive to multitasking
  • Consciously choosing to multi-task instead of having the multitasking run you.
  • You can use multi tasking as energizer and schedule it. You can use it proactively when you’re tired or can’t focus.

Keep in mind that most often you are always going to be pulled to multitask and to steer clear of it and generate new behaviors takes a lot of commitment.

Productivity Robber #3: INTERRUPTIONS

Workplace-Distractions-300x212We get interrupted from time to time with phone calls, texts messages, requests from coworkers, checking Facebook, etc. One thing that we should understand is that we actually is the source and the one who creates the environment of being interrupted because we are the one who is allowing it. Interruption is a productivity robber because when we start to work, it takes more than 15 minutes to get into a flow state at work. It’s different amount of time for different people but nevertheless every time you get interrupted, it actually take at least the same amount of time to get back into your groove. So, if you’re interrupted even 3 times a day and we’re generally interrupted more than that, we can lose up to an hour of productivity.

SOLUTION:

As much as we say that people interrupt us, we are the one that’s allowing it. The key solution is to schedule your interruptions and some of the key support tools are:

  • Red head-band. This means “I’m working, don’t bother me”. So whether you are at home and you don’t want people to bother you, some physical indication like a note on your door can really help.
  • Turn off ALL  distractions for a period of time.  If you are able, stow away or silence your phone so you will be able to focus on the task at hand.

Many people struggle with life-balance which is a function of productivity.
